The paralegal reports to the General Counsel and primarily provides direct confidential administrative coordination and support to the General Counsel and Attorneys in the Legal Department. The paralegal must have exceptional administrative skills (coordination of travel, expense reporting, schedule coordination, meeting preparation, etc.), a positive and tactful demeanor, professional presence, high energy, excellent communication skills, a talent for assisting in coordinating inside a dynamic environment of senior management, and the ability to operate independently.

RESPONSIBILITIES

Serves as primary liaison between the General Counsel and a variety of others regarding a constantly changing array of legal and business issues. The nature of these contacts will require extensive knowledge of the General Counsel’s priorities, policies and philosophies.

Ensures that General Counsel’s priorities and obligations are met by ensuring maintenance of complex calendars and schedules which include meetings, legal consultation and briefings, policy development, and travel. This requires a strong ability to understand the strategic priorities of the General Counsel, her work, and to make independent decisions.

Reg! ularly exercises independent judgment and decision-making skills to resolve problems.

Assists in the development, review, and finalization of various materials, including correspondence, file documentation, and policies by proofreading, collecting and verifying source materials (upon request), formatting, and providing other support services.

Delegated authority in managing the General Counsel’s electronic mail. This position is expected to have high-level decision-making ability to reschedule, postpone, or relocate meetings as appropriate.

Assists General Counsel by collecting and assembling materials necessary to effectively prepare and communicate at various internal and external meetings, including independently preparing or providing meeting agendas and their contents, and gathering, synthesizing and disseminating information. Assists in gathering and summarizing material for use in presentations, projects, and policies.

Opens, sor! ts, and triages mail and faxes including mail that is highly sensitive ! and confidential.

Creates and maintains confidential paper and electronic filing system(s) for the General Counsel’s office, including filing and organization of critical documents for group companies and contracts for partnerships and collaborations.

Oversees the archiving and purging of records according to applicable retention schedules.

Makes all necessary travel arrangements, itineraries, travel vouchers and prepares draft expense reports for the General Counsel.

Assists with meeting arrangements and logistics for annual shareholders meetings.

Serves as liaison with Board members, assists with board meeting preparation and execution, including communication, agenda, setup and logistics.

Serves as liaison with senior leaders, external vendors, internal customers, and Legal Department staff.

Handles all administrative duties with limited supervision; organizes and expedites workflow, and initiates follow up! actions.

Prepares presentation materials for various projects, initiatives, senior management and Board presentations.

Composes and edits written correspondence, including typing and proofreading, faxing, copying, scanning, and printing written materials.

Screens telephone calls, mail, and visitors; answers routine questions and furnishes information when possible.

Organizes and maintains confidential correspondence and files and follows up on pending matters.

Understands and respects the need to maintain confidential/privileged information.

Analyzes and compiles data for special projects as directed.

Assists with monthly review of department expenditure reports and comparison to budget; assists GC with monthly, quarterly, and annual department budget preparation.

Handles electronic/manual processing of vendor invoices.

Performs other duties, as assigned.

Ability to operate standard office equipment, such as copy machines, overhead projectors, scanners, printers, fax machines, conferencing equipment, etc.

At least 7 years of experience in progressively responsible paralegal or administrative positions in a law office or law department, including the provision of support to an executive level attorney in the law firm or other organization (e.g., assistant to the General Counsel, Vice President for Legal Affairs, Senior or Managing Partner, Chief Legal Officer)

Associate's degree required; Paralegal certification and Bachelor’s degree preferred

Superior skills in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe, SharePoint site administration, and Board support software

Must be pro! mpt, on time, and present in the office. This role is not a remote access role.
