Position Description

Seattle City Light, a department of the City of Seattle, is one of the nation’s largest municipally owned utilities in terms of the number of customers served. The Customer Operations Division is seeking to hire an Administrative Staff Assistant. This position will be directly responsible for supporting the Customer Operations Director and other people leaders in the division who lead teams at the Seattle Municipal Tower (SMT Downtown), North and South locations. The division is made up of five distinct workgroups led by five managers, 13 supervisors and is staffed by 175+ employees. This position will provide a variety of administrative support duties for the division. This position will report to the Director of Customer Operations.

Job Responsibilities

  • This position will schedule division leadership meetings, one on one meetings, and maintain the calendar for the Director and assist with scheduling/calendaring needs for managers, when needed.
  • Research, analyze, and resolve a variety of operational and/or administrative issues within the division remotely and in the office.
  • Serve as a liaison between other divisions and other departments
  • Functioning as the office manager, use judgment to make decisions about day-to-day office, budgetary and personnel problems or activities. Apply established policies and procedures to day-to-day situations.
  • Monitors and manages the unit's budget by authorizing payment of expenditures from invoices, contracts, services, and supplies.
  • Confidentially coordinates and participates in a variety of personnel related activities such as the hiring processes and the investigation of personnel problems. Coordinates the writing of job descriptions and performance evaluations; participates in the development of interview questions and procedures and serves as needed on interview panels.
  • Perform all tasks, paperwork, and requests associated with on-boarding new employees as well as the steps required in exiting existing employees.

Qualifications

Required Qualifications: In addition to the skills and experience mentioned below, a successful applicant will have experience that reflects a commitment to creating fair and equitable outcomes and has:

Requires one year of experience in administrative analysis, budget administration or preparation, office management, personnel administration, program administration, as staff assistant, or in a closely related field; and a Bachelor's degree in business or public administration, or another closely related field (or a combination of education and/or training and/or experience that provides an equivalent background required to perform the work of the class).

Desired Qualifications - You will be successful if you have the following experience, skills, and abilities:
  • 3+ years’ experience with Microsoft Office products (Excel, PowerPoint, Word) and Visio
  • 2+ years’ experience with performing tasks related to employee onboarding and exiting (new hire paperwork, computer access, key cards, etc.
  • 2+ years’ experience in calendar management including scheduling singular and recurring meetings.
  • 2+ years' experience working within an electric, water, or other utility.
  • 2+ years' experience authorizing payment of expenditures from invoices, contracts, services, and supplies.
  • Excellent skills in time management, communication, organization, and decision making.
  • Ability to multi-task, meet deadlines, and deliver timely and accurate work products.
  • Good interpersonal skills to support team and interact with Customer Operations staff and staff from other divisions and departments.
  • Reliable and able to work with integrity and trustworthiness. Ability to maintain confidentiality as candidate will be privy to sensitive information.
  • Positive attitude and receptive to coaching and growth.
  • Experience working within a union environment.
  • Experience complying with city policies and procedures.

Additional Information

The full salary range for this position is $35.05 to $40.86 per hour.
