Deputy Court Clerk positions include the Front Office Support Clerk, Docket Clerk, Petition Clerk, Cashier Clerk and Courtroom Clerk.

Essential Functions: (Essential functions, as defined under the Americans with Disabilities Act, may include the following tasks, knowledge, skills and other characteristics. Tasks:
Provides a variety of clerical and related support services to people and entities utilizing the court’s services; functions both at the public counter, in the office environment, in the courtroom or other location as assigned. Accepts pleadings and documents for new and existing case files; enters data into the data management system; creates and maintains case files and folders; accepts and verifies records and documents.

Responds! to inquiries at the counter, by telephone and in writing to p! rovide requested information; conducts and performs research and coordination necessary to formulate an accurate response; enters pleadings and filings into the Rule Docket recording system; schedules and calendars future court proceedings. Assists other clerks with job functions, as needed, including pulling files, returning files to file room, and copying documents for files.

Train to serve as Clerk in the courtroom; prepares files for court; checks files for completeness and updates paperwork; provides forms and other paperwork required during the course of the hearing; operates in-court recording equipment; maintains documentation of proceedings; advises appropriate supervisor of equipment and/or supply issues. Performs other related duties as assigned.

Upon completion of courtroom orientation and training, serve as a clerk in the courtroom; prepares files for court; checks files for completeness and updates paperwork; provides forms and other paperwor! k required during the course of the hearing; operates in-court digital recording equipment; enters data into the data management system; maintains documentation of proceedings; drafts court orders; advises appropriate supervisor of equipment and/or supply issues.

In addition to the responsibilities described above, this employee may encounter and be responsible for one or more of the general duties of a Clerk as specified below on an occasional to frequent basis. Assists other clerks with job functions as needed, including pulling files, returning files and copying documents for files

Accepts pleadings and documents for new and existing case files; enters data into the data management system, creates and maintains case files and folders; accepts and verifies records and documents.

Knowledge, Skills and Abilities:
Knowledge of applicable State of Tennessee statutes, rules, administrative orders, policies and procedures, Federal rules and! requirements.
Knowledge of Hamilton County policies and procedures! .
Knowledge of legal terminology and court system processes and procedures.
Knowledge of the basic principles and practices of record keeping, bookkeeping, case-flow management, and office operations.
Skill in dealing with the public and users of the court’s services in a professional and efficient manner.
Skill in working under pressure in a dynamic environment with changing program demands and priorities.
Skill in establishing and maintaining cooperative working relationships with court employees, attorneys, law enforcement, interested parties and the public.
Skill in operating a personal computer utilizing a variety of software applications.
Effective communication skills, in both oral and written form.
Skill with technologically advanced software and hardware systems, including digital court recording and document imaging software.
Ability to manage electronic information via email, an electronic database, as well as a document imag! ing system. Ability to accurately and efficiently enter data into the electronic database. Knowledge and skill entering electronic documents, submitting electronic documents, scanning documents, viewing scanned document images, submitting and editing electronic orders.

Minimum Requirements:
T he equivalent of a High School diploma and two (2) years experience/training involving legal or clerk work. Must be able to qualify to serve as a Notary Public. Applicant must be able to effectively communicate in both oral and written form.
Experience in customer service and working directly with the public is required.

Physical Requirements: Work involves an office environment and an occasional courtroom setting with the potential for exposure to infectious diseases. Work may also require the incumbent to push and/or pull heavy, bulky files and file boxes weighing up to seventy-five (75) pounds. A handcart/truck may be utilized to assist in the! moving. Requires ability to lift and file client case files weighing u! p to fifteen (15) pounds.

Preferred Qualifications: Two-year Associate's Degree or four-year Bachelor's Degree preferred. Candidate should have experience in Microsoft Office software, including Word, Excel, Outlook, etc. Experience in the use of the Tennessee Child Support Enforcement Services (TCSES) database is desired. Fluency in Spanish and/or other language, in addition to English, is a plus. Knowledge of the Tennessee child support system and knowledge of the Hamilton County Juvenile Court system are preferred.
